The Hostkeeper is a brand of JOOP Consulting BV. Below you can read which personal data we collect through thehostkeeper.com, why we do so, how long we keep it and what your rights are.

Who is responsible
JOOP Consulting BV, trading as The Hostkeeper, company number [KBO-nummer], VAT [btw-nummer]. You can reach us at hello@thehostkeeper.com or on +32 468 28 21 01.
What we collect
We only collect what you fill in yourself in one of our forms:
- Your name, email address and phone number
- Your contact preference: phone, email or WhatsApp
- Details about your property: address or town, a link to your listing, property type, current rental situation and optionally your current revenue
- Your priorities and your message
- The page where you filled in the form and any utm parameters of the campaign that brought you
Why we use it
We use your data to prepare and send your audit, to answer your question, to put you on the waiting list for a region we have not opened yet, and to follow up on the collaboration once you become a client.
The legal basis is your consent (the checkbox on the audit form) and, once there is an agreement, the performance of that agreement.
How long we keep it
Leads that do not become clients are kept for at most 24 months, so we can follow up if you decide to start later. If you become a client, the statutory retention periods for our accounting apply (7 years). If you ask for deletion, we erase everything we are not legally required to keep.
Who we share it with
We never sell your data. We only share it with processors needed to run the site and our follow-up:
- Our hosting partner for the website and the database
- Our email provider for the confirmation and notification emails
- Our internal CRM system for following up on your request
- Once you are a client, also the platforms (Airbnb, Booking.com, Vrbo) and our cleaning and maintenance partners, strictly for what is needed
Where it is stored
Your data is processed within the European Economic Area. If we use a processor outside the EEA, it happens on the basis of the European Commission standard contractual clauses.
Your rights
You always have the right to:
- Request access to the data we hold about you
- Have it corrected or completed
- Have it erased
- Restrict or object to the processing
- Receive your data in a readable format
- Withdraw your consent at any time
How to exercise those rights
Send an email to hello@thehostkeeper.com. We answer within 30 days. If you are not satisfied with our answer, you can file a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be.
Security
The site runs entirely over https. Access to lead data is limited to the people who need to work with it and goes through personal accounts. Our API is protected with a key.
