Who is responsible

What we collect

We only collect what you fill in yourself in one of our forms:

• Your name, email address and phone number
• Your contact preference: phone, email or WhatsApp
• Details about your property: address or town, a link to your listing, property type, current rental situation and optionally your current revenue
• Your priorities and your message
• The page where you filled in the form and any utm parameters of the campaign that brought you

Why we use it

We use your data to prepare and send your audit, to answer your question, to call you within 24 hours as we promise, and to follow up on the collaboration once you become a client.

The legal basis is your consent (the checkbox you tick yourself on every form) and, once there is an agreement, the performance of that agreement.

How long we keep it

Leads that do not become clients are kept for at most 24 months, so we can follow up if you decide to start later. If you become a client, the statutory retention periods for our accounting apply (7 years). If you ask for deletion, we erase everything we are not legally required to keep.

Who we share it with

We never sell your data. We only share it with processors needed to run the site and our follow-up:

• Our hosting partner for the website and the database
• Our email provider for the confirmation and notification emails
• Our internal CRM system for following up on your request
• Google Ireland Limited, for visitor statistics and advertising measurement, but only if you consented to that
• Once you are a client, also the platforms (Airbnb, Booking.com, Vrbo) and our cleaning and maintenance partners, strictly for what is needed

Measurement and advertising

We advertise on Google. If you consent to it, Google Analytics and Google Ads place cookies on your device and process your behaviour on this site: which pages you view, which advertisement brought you here and whether you submitted a form. That tells us which advertisement works, and lets us show you an advertisement again later.

The legal basis for this is solely your consent. If you do not give it, none of this happens and the site works exactly the same. You can withdraw your consent at any time, as described in our cookie policy.

We do not link this data to what you filled in on a form, and we never pass your name, email address or phone number to Google.

Where it is stored

What you fill in on a form is processed within the European Economic Area: our hosting, our database and our CRM are in the EEA.

If you consented to statistics or advertising, that data can end up outside the EEA, because Google also processes it in the United States. That happens on the basis of the EU-US Data Privacy Framework, which Google participates in, and the European Commission standard contractual clauses. If you do not give that consent, your data does not leave the EEA.

Your rights

You always have the right to:

• Request access to the data we hold about you
• Have it corrected or completed
• Have it erased
• Restrict or object to the processing
• Receive your data in a readable format
• Withdraw your consent at any time

How to exercise those rights

Send an email to hello@thehostkeeper.com. We answer within 30 days. If you are not satisfied with our answer, you can file a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be.

Security

The site runs entirely over https. Access to lead data is limited to the people who need to work with it and goes through personal accounts. Our API is protected with a key.
